Job description OBJECTIVES/SCOPE

To provide effective support and co-ordination of departmental activities within the Project Management Team with the aim of maximising departmental efficiency.

To support the execution and delivery of Wellheads Projects by supporting Wellheads Project Management and other personnel from Project Tender through to final delivery.

MAIN RESPONSIBILITIES

Project Co-ordinator Responsibilities:

•Become an integral part of the Project Team environment and Customer drive value set.
•Identify problematic issues which could affect project deliverables and instigate / recommend recovery actions.
•Responsible for expediting and controlling all component and assembled deliverables for a group of projects and ensuring that all items are delivered as per agreement.
•Hold / participate in project team meetings and lead all internal material flow and coordination aspects.
•Liaise with all relevant departments to establish all project and manufacturing requirements.
•Prepare for and be involved in AKS audit processes.
•Ensure that all work is carried out in accordance with AKS Health & Safety regulations and policy.
•Actively participate in AKS quality and values culture.
•Linking project requirements in SAP to ensure MRP functionality and process control.
•Ensure changes are actioned in the most efficient manner to meet Project requirements.
•Continually review the processes with a view to making it more efficient.
•Participate (Deputise for PM) in EPC/client project meetings and design reviews.
•Drive the PEM process in every aspect, following up with internal disciplines taking ownership of the checklists. Also participating (deputising) in gate reviews as required.
•Chair/Participate KO meetings with vendors/quality/supply chain.
•Liaise with tender team, develop project Kick off pack/meeting agenda and participate/chair if required.
•Identify and drive project team focus towards critical activities
•Create regular reports for PM/EPC/client.
•Review individual project contractual requirements ensuring these are adhered to for the duration of the project
•Co-ordinate shipping and logistics as and when required taking full ownership of final delivery to client.
•Be the focal point for customer requests and queries
•Preparation and reporting of compliance to costing schedules
•Preparation/Support of work packs for the manufacturing team
•Checking of products and material certification prior to delivery to customer
•Contractual awareness and implantation of company terms and conditions
•Identify change management opportunities
•Any other role or responsibility assigned by the Project Manager.

Supporting functions

Supply Chain

•Review of customer purchase orders
•Ensure product and material certification requirements are clearly documented to the supplier
•Preparation/Support of customer documentation packages in accordance with customer purchase order requirements
•Arrange and attend customer and third party inspections
•Expedite and control all aspects of the supply chain processes, ensuring that all materials are procured and delivered to meet project requirements.
•The expediting of overdue purchase orders placement through Procurement.
•Responsible for monitoring the conversion of purchase requisitions as required and in line with the project plan.
•Issue project specific material status and exception reports.
•Analysing in detail material requirements and identifying / correcting potential project constraints.

Planning

•Preparation of project and production schedules
•Monitor and report the compliance of the project team with regards to the production schedule
•Ensuring that deliverables are achieved within the allotted timescales.

Document Management

•Preparation of project update reports
•Preparation of document registers and project specific procedures
•Ensure all material flow challenges are actioned in the most efficient manner and fully aligned with Project Team key targets.
•Support documentation control through the project between Supply Chain and Quality, LCI and MC documentation

COMPETENCE REQUIREMENTS

QUALIFICATIONS
Essential Requirements:
•HNC or NVQ/SVQ level 3.

SPECIFIC TRAINING/SPECIALIST SKILLS
Essential Requirements:
•Working knowledge in Word, Windows, Excel & Powerpoint.

Desirable Requirements:
•Working knowledge in SAP.
•Ability to work offshore and overseas.

COMPETENCIES
Essential Requirements:
Understanding of SAP / MRP systems and basic understanding of engineering principles.
Conversant with engineering and manufacturing systems, practices and processes.
Preferably with experience of Electro / Hyd Subsea Control type equipment.

Essential Requirements:
Good communicator, team player and driven individual.
Organised and methodical, with the ability to pre-empt situations and react positively.
Ability to work under pressure and on own initiative.
