PURPOSE Document Controllers are responsible for the handling of documentation in accordance with all relevant Project procedures and work instructions.
Document Controllers are responsible for carrying out other documentation tasks as directed by the department Lead Document Controller and Senior Document Controllers.
RESPONSIBILITIES Quality control of engineering input to the SAP PLM system (where implemented) and carry out work related to documentation and documentation handling efficiently. Personally responsible for the quality of work whilst making a positive contribution to the quality of both the department and the work carried out by their colleagues. Arrange review in accordance with local arrangements to ensure the utmost quality of documentation and work. Prepare traceability sheets to assist in the compilation and delivery of locally produced Manufacturing Record Books to the Customer in cooperation with the project Life Cycle Information Coordinator or Project manager, ensuring that required delivery dates and clients contractual obligations are met. Accurately maintain archives and data bases and execute of all transactions pertinent to recording the origination and life cycle history of all clients documentation and client numbered documentation using the documentation management system SAP PLM. Issue, record, distribute and transmit documentation and comments both internally and externally in the required format, advising relevant users of all new and revised documentation incorporated into the collection. Maintain Project Master Document Lists in accordance with clients procedures, SAP PLM requirements and Project’s requirements. Liaise with other Company Document Management centres to expedite the sourcing and retrieval on non documentation. Provide advice and guidance on Document Control issues to all Company and External users. Convert documentation to electronic formats, produce documentation indexes, retrieve and print Company As Built documentation and arrange copying and imaging as requested. Provide regular progress reports to Lead Document Controller/Senior Document Controllers. Provide and assist in all department training requirements. Maintain a high professional standard output. Personal responsibility for their own health and safety within the workplace, and a positive contribution to the health and safety of their colleagues. Document Controllers shall in all their work follow governing documents and directions as given by the Department manager/supervisor or Team Leaders. In addition to the duties listed, the jobholder is required to perform other duties assigned by the Department Manager from time to time.
KNOWLEDGE & EXPERIENCE Experience working with controlled Document Management in the Oil and Gas industry is not required, but preferred. Working knowledge of IT systems preferably SAP PLM, as well as working experience with all Microsoft Office applications. Knowledge of documentation work flow. Basic understanding of engineering documentation, its generation and revision, and the ability to read and understand basic engineering drawings, documents and procedures. Must understand the importance of meticulous review of all documentation submitted to Document Management, and must have the confidence and ability to refer issues concerning content, style and presentation to the relevant originator. Whilst on recruitment the post holder may not be entirely familiar with all applications used by the Company for document management, but they should understand the processes involved in EDM and must be fully aware of the implications of errors in document management.
