Job Title: Assistant Operations Coordinator - Refined Products

We are currently recruiting for a Assistant Operations Coordinator – Refined Product, to join our Irving Oil Team.

Responsibilities include:

  • Review contracts and demurrage claims to ensure accuracy of occurrences and charges against Irving with possible re-billing 3rd party customers, billing demurrage in a timely manner. Analyze operating procedures/schedules in an attempt to improve services and reduce costs, preparing voyage orders, preparing and distributing vessel position sheets, monthly KPI reporting and weekly delay reporting.
  • Customs Imports: Ensure that all our Canadian and US imports & exports (B13a) for clean products are handled according to the latest regulations.
  • Ensure that all documentation is in order for auditing purposes.
  • Daily production and distribution of vessel position sheet.
  • Monthly reporting of KPI’s (responsible for updating S&T’s OTD and L&D’s SAD on scorecard)
  • Benzene Import reporting to Environment Canada Weekly update of delays to vessels

Assists As Required:

  • Operations coordinator on Terminal night orders, voyage orders and vessel vettings.
  • Analysis of demurrage by reviewing contracts and claims to ensure claims are correct in an attempt to minimize demurrage payables, reviewing ship logs and contracts to ensure that product tankers are paid for demurrage incurred in an attempt to maximize demurrage receivables, and preparing demurrage packages and invoicing customers for demurrage incurred.
  • Invoicing Deviations, dead-freight claims and any miscellaneous operating costs to 3rd parties.
  • Post secondary or relevant Marine or Terminal background.
  • Minimum 2 years in marine industry or refining experience
  • Must be able to work within a team environment and work with people internal and external to the organization.
  • Computer skills (Excel – pivot tables/Word/Outlook) Accounting and Negotiating skills preferred.
  • Strong organizational skills, excellent mathematical and analytical skills, and the ability to manage multiple tasks.
